Who is responsible?
LifetrainUK Limited (trading as LifetrainUK), company number 04195851, registered in England and Wales, with registered office at Sussex House, 1A Mash Barn Lane, Lancing, West Sussex, BN15 9EE, is the controller for personal information you give us through this website. For privacy questions or to exercise your rights, email info@ltuk.org or call 07813 939 268. This notice covers the public website and general enquiries. Learning Hub accounts, membership, bookings and therapeutic services may need additional privacy information when you use those services.
What information is involved?
The contact form asks for your name, email address and message. We also receive information you choose to send by email or telephone. Website hosting and security services may process technical information such as IP addresses, browser details, request times and security logs to deliver and protect the website. Please only provide what is needed for your enquiry.
Why we use it and our lawful bases
We use enquiry details to reply, understand your request and arrange appropriate follow up. For general enquiries, our lawful basis is legitimate interests: communicating with people who contact us and running our services. Where you ask us to take steps towards a booking or agreement, processing may be necessary for steps before entering a contract. Security processing supports our legitimate interest in protecting the website. Where a specific legal duty requires us to keep or disclose information, we rely on legal obligation. These bases do not automatically authorise the processing of health or other special category information.
Please keep sensitive information out of enquiries
Do not include children’s names, identifying case details, health information or confidential records in the website form or an initial email. Ask us to agree a suitable way to share any information needed for a service. We will explain the relevant privacy arrangements before requesting sensitive service information. Providing enquiry details is voluntary, but without a reply address and enough information we may be unable to respond.
Who receives information?
The form sends your name, email address and message through FormSubmit to info@ltuk.org. FormSubmit may take you to a spam check and processes technical information associated with that service. See FormSubmit’s privacy information. Hosting, website security and email providers also process information needed to operate their services. Information may be disclosed where legally required or where necessary and lawful to address a safeguarding concern. See our confidentiality information.
External providers and international processing
Third party services have their own processing arrangements and may process information outside the UK. FormSubmit’s published privacy information does not identify its processing countries or UK international transfer safeguards. Please use this form for general enquiries only; contact us if you need more information before deciding what to share. This website notice does not certify any provider’s UK GDPR compliance.
How long information is kept
Enquiry information is kept for as long as needed to respond and manage relevant follow up. If an enquiry becomes a booking or service, relevant information forms part of the service record and the applicable retention arrangements will be explained for that service. Legal obligations, safeguarding requirements and the need to resolve complaints or legal claims may justify longer retention. You can ask us about the retention arrangements applicable to your information.
Confidentiality and security
Information should only be accessed or shared where needed for the enquiry, service or a lawful safeguarding or legal purpose. Internet forms and ordinary email cannot guarantee absolute confidentiality. Do not use them to send urgent concerns or sensitive records. Contact us if you believe information has been sent to the wrong place.
Your rights and complaints
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, object to processing based on legitimate interests, or receive portable information where that right applies. If processing relies on consent, you can withdraw it without affecting earlier lawful processing. These rights have limits, particularly where information must be retained by law. Email info@ltuk.org to make a request; we may need to verify your identity. You can complain to us and to the Information Commissioner’s Office (ICO). You do not have to contact us first.
Other websites and updates
Social media, Google reviews and book retailer links take you to external services with their own privacy and cookie notices. This website does not make automated decisions about you or carry out profiling for enquiry handling. We update this notice when the website’s processing changes.
